Assessment 3: e Portfolio – Implementation Plan and Communication Strategy (30%)
This assessment focuses on developing and presenting a business information plan that supports the adoption of improved systems and technologies. Akōnga (learners) will demonstrate their ability to produce business information to support administrative functions and operations, which is the core of LO3.
Choose your context: For this assessment, you will create an implementation plan and communication strategy for introducing a new system or technology, based on the options you have chosen for your previous assessments. You have two options for the context of this work; choose only ONE of these options:
1. Nourish & Thrive case study: This option is for learners who do not have relevant workplace experience or prefer to work with the provided scenario. You will act as a business information consultant for the Nourish & Thrive business, building on previous assessments.
2. Personal workplace application: This option is for learners currently working in an administrative or business-related role. You will apply your knowledge directly to your own professional environment by identifying and improving an existing system or process.
No matter which option you choose, the tasks and deliverables remain the same.
Task: Implementation Plan and Communication Strategy
You will create a comprehensive plan and supporting materials for introducing a new system or technology.
Deliverables:
1. Implementation Plan (Report): Develop a detailed report that outlines the phased introduction of the new system. This report should include:
- Current state analysis: A concise description of the current administrative system or process and the need for improvement.
- Project timeline: A clear timeline with key milestones for implementation.
- Risk management: Identification of potential risks (for example, staff resistance, technical glitches, data privacy concerns) and a plan to mitigate them.
- Staff training: A strategy for training colleagues or staff on the new technology, including training materials or a schedule.
- Change management: A brief strategy to manage the transition and address potential concerns about the learning curve and complexity.

2. Communication materials (ePortfolio component): Create at least two of the following items to support the implementation. You may select from a range of software to produce the documents (for example, Canva, Notion, MailChimp, Word, OneDrive, and so on).
- Training guide: A simple, one-page guide for staff on how to perform a key task using the new system (for example, ‘How to enter a new customer order’).
- Internal FAQ: A document answering common questions that staff might have about the new system’s benefits and how it will affect their roles.
- Draft communication: A draft to inform a key audience (for example, an internal memo to management or a newsletter to customers) about the plan and its benefits.

Reflection: Provide a written reflection (approximately 250–300 words) on the professional and interpersonal skills required to build stakeholder support and trust during a technology implementation project. This should address how you would communicate complex information clearly and persuade others to adopt the change.

4. Overall assessment portfolio: The deliverables for this task will be compiled into an ePortfolio. There should be a logical flow, a clear structure, and your work should be presented professionally. Ensure APA referencing is included as appropriate.
