For information and reference only – not to be submitted as your own work. This extract shows how to structure the comparison and recommendation. Product features and mobile plans change often, so check every detail against current provider websites and your BSNS5203 Assessment Scenario document.
This extract follows the BSNS5203 Assessment 2 brief (Open Polytechnic, Applied Business Technologies) for Force Roading and Property Management Limited (FRPML). Similar briefs are in our solved assignment questions library, and the method is explained in our guide to comparing job dispatching software for BSNS5203.
Task 1a extract: three Xero-integrated job dispatching solutions
Three cloud-based job management products with documented Xero integration were compared: Fergus, Tradify and ServiceM8 (Fergus, n.d.; ServiceM8, n.d.; Xero, n.d.). All three let office staff create and schedule jobs, send them to field workers’ phones, record time and photos on site, and pass completed jobs to Xero for invoicing.
For FRPML, the main benefit over the current dispatching process is that job details are entered once and flow through to invoicing. This removes re-keying in the office and reduces delays between job completion and billing.
Task 1b extract: requirements mapping table
In a real answer the first column lists every requirement from the Assessment Scenario document. The rows below are generic examples of the format; confirm each entry against current vendor documentation.
| Requirement (example) | Fergus | Tradify | ServiceM8 |
|---|---|---|---|
| Schedule and dispatch jobs to field staff | Yes | Yes | Yes |
| Mobile app for field updates | Yes | Yes | Yes |
| Integration with NZ Xero for invoicing | Yes | Yes | Yes |
| Photos and notes from site | Yes | Yes | Yes |
Task 1c extract: fit with field and office staff
With Tradify, for example, an administrator could book a road-marking job in the office calendar, and the crew leader would see it on their phone with the address and notes. Once finished, the crew leader adds photos and marks the job complete, and the office sends the invoice through Xero without retyping details (Tradify, n.d.).

Task 2 extract: hardware and connectivity options
| Option | Type | Why it may suit field crews | Watch-out |
|---|---|---|---|
| Rugged Android phone (for example the Samsung Galaxy XCover range) | Hardware | Built for outdoor and site work | Fewer model choices |
| Mid-range Android (for example the Samsung Galaxy A range) | Hardware | Lower cost per device | Needs a protective case on site |
| Apple iPhone (current standard model) | Hardware | Long software support; all three apps available | Higher cost |
| One NZ business plan | Connectivity | National network for rural road work | Compare data allowance and price per user on the provider’s current plan page |
| Spark business plan | Connectivity | National network; business support | Compare data allowance and price per user on the provider’s current plan page |
| 2degrees business plan | Connectivity | Often competitive pricing | Check the coverage map for FRPML’s work areas |
Coverage on the actual roads FRPML works on matters more than headline data. Each provider’s official coverage map should be checked for those areas before a plan is recommended.
Task 3 extract: recommendation, strengths and weaknesses
The recommended package in this extract is Tradify with rugged Android phones on a business plan from the provider with the best coverage across FRPML’s work areas. This combination meets the dispatching, mobile update and Xero invoicing requirements while keeping devices durable on site.
| Point | Contingency | |
|---|---|---|
| Strength 1 | Single entry of job data from booking to invoice | – |
| Strength 2 | Durable phones reduce breakage and downtime | – |
| Weakness 1 | Poor signal in remote areas could delay updates | Use the app’s offline features where available and sync on return to coverage; carry printed job sheets |
| Weakness 2 | Staff may resist a new app | Hands-on training and a crew champion in each team |
